Privacy notice
This notice explains how Lanaton Stays collects, uses, shares and protects personal information connected with Sweet Cottage enquiries, bookings and operations.
Who is responsible for your information
Lanaton Stays is the data controller. Contact us at corporate@lanatonstays.co.uk, telephone 07809 618799, or write to Sweet Cottage, 68 Park Road, Keynsham, Bristol BS31 1DE.
Information we may collect
This may include names, employer or booking company, contact details, booking references, guest and arrival information, vehicle registrations, bedroom requirements, payment and deposit records, correspondence, agreements, inspection and incident records, and confirmation that a temporary smart-lock code was issued or withdrawn. We do not retain complete payment-card details where payment is handled by a payment provider.
How we use it
We use information to respond to enquiries, prepare quotations, administer bookings, support guests, manage payments, protect the property, meet legal and insurance requirements, and keep appropriate business records. Information may come from you, a booking company or agency, an authorised representative, or records created while managing the property.
Who we may share it with
Information may be shared where necessary with the booking company, authorised agents, payment and accounting providers, IT and email providers, cleaning or maintenance providers, professional advisers, insurers, emergency services, regulators or public authorities. We do not sell personal information.
How long we keep it
We retain information only as long as reasonably necessary. Core booking, invoicing and payment records are normally retained for up to six years. Routine identification copies are normally deleted promptly after checks and no later than 30 days after departure unless needed for a live dispute. Unsuccessful enquiries are normally retained for up to 12 months.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase, restrict or object to processing and to receive certain information in a portable format. You may object to direct marketing at any time. Contact us to exercise a right; we may need to confirm your identity.
Questions or complaints
Please contact Lanaton Stays first so we can try to resolve the matter. You may also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or telephone 0303 123 1113.
